The Booking Terms and Conditions include very significant information that related to our company. The content is essential that all have to read them carefully and understand. The Booking Terms and Conditions comprise a legally requisite contract between Himalaya Message Adventure and you for the services provided by Himalaya Message Adventure and set out the basis of your legal relationship with our company.

Bookings and Payments

 To make a Booking you must send us a completely filled Booking Application Form, with 20% of payment of the trekking/hiking/tour cost and 30% of the peak climbing/ expedition cost. This will constitute acceptance by you of these Terms and Conditions. You need to submit a scan copy of each passport of the team to our office via email or fax including passport size picture. Rest 20% of trekking cost and 30% of Peak Climbing cost should be paid as 2nd installment at least 15 days prior you leave from your origin to Nepal for the trip. Balance 60% of trekking cost and 40% of peak climbing/expedition cost should be made in Kathmandu before departure for the Trip. The trekking/tour/ climbing/expedition trip is starting only after full payments of the total trip cost. The cost is valid as agreed.

Please, contact us once regarding direct deposit details. The client is paying the bank charge himself/herself at the time of payment from his/her bank. A receipt will be provided as per the amount received in our account only. Below are our Bank account details if you are willing to transfer the payment via your bank account:

For the payment by Credit Card, please contact us in mail or follow the procedure listed below. Please keep in mind that we only accept Visa or MasterCard and a 4% levy, will be added for card processing fee on top of the package bills.

Process of Credit Card Payment

  To pay the trip bill by offline credit card you need to submit the following documents to our company attesting in the mail:

-A copy of passport
-A Copy of your Credit Card of either side
-An authorization letter mentioning the bill amount inclusive of bank charge.


Cancellation & Booking Changes

(1.) Cancellation notice is required minimum 20 days prior to trip departure and must be made in writing, such notice commences from the day notice is received. Cancellation shall be valid with approval from the company after receiving documentation. The Trip shall then be termed as cancelled and a cancellation charge of 25% of the trip amount will deduct from the advance paid.

(2.) There will be no refund to clients that provide less than 20 days prior notice, before trip starts and if a passenger leaves a trip for any reason whatsoever, either voluntarily, involuntarily or if you commit any unlawful act after the trip has commenced. We will make no refunds for any meals, accommodation or services not used.

(3.) Should you require other changes to your original stipulated tour, the person that booked the tour must submit a written document with changes required in 10 days advance while every effort will be made, changes cannot be guaranteed.

(4.) If you are unable from travelling on the tour by genuine circumstances, for example (without restriction) because of death, injury or serious illness of the passenger, close relative or friend, redundancy or jury service, you may postpone or transfer your booking to another person, provided they meet all the requirements relating to that tour. You must provide proof of why you are unable to travel at the time you change your booking.

Passport and Visas

All clients should have a valid passport with at least 6 months validity from return date.  Nepalese visas can be obtained from the Nepalese Consulate in your country or on arrival in Kathmandu Airport. Nepalese visas costs are the sole responsibility of clients.

Travel Insurance

Travel insurance is compulsory for all Clients undertaking any tour. It should provide adequate protection for the full duration of the tour to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance and adequate cover for baggage.

Rescue insurance

If our client injured and unable to travel, you can ask for a rescue helicopter or charter flight from a remote airstrip only if you have definite proof you can pay for it.

Health & Fitness

Our Nepal tours and treks require a level of fitness, thus you should always check with your local GP regarding your health and fitness before you travel. This is client’s responsibility to notify Himalaya Message Adventure of any pre-existing medical condition and/or disability that might reasonably be expected to increase the risk of you required medical attention, that may affect your ability to travel.


A legal guardian must accompany all travelers under the age of sixteen. If you have a question regarding age and suitability, please contact us for further information.


You agree that Himalaya Message Adventure may use images of you taken during the trip without recourse to you and without compensation to you, for publicity and promotion purposes only through whatever medium it chooses.

Changes to your Holiday and Pricing

Travelling with Himalaya Message Adventure requires a degree of flexibility, good humor and an understanding that modes of transport, accommodation and itineraries may change, even after the tour has commenced, without prior notice due to local circumstances such as flight delay, cancellation or postponement due to notorious weather in the Himalayan regions or other unpredictable circumstances such as land-slides, road blockage, flood, snow, political unrest or delay arrival etc. Himalaya Message Adventure is unable to refund any monies under the above circumstances due to prior supplier arrangements. If possible we will always endeavor to provide you an alternative or substitute trip of same category.

Our holidays, tour / trek packages, are based on twin sharing accommodation. Thus, single room supplement charge will be place to clients who do not have another tour participant to share accommodation with.

We reserve the right to revise pricing rates posted in our marketing material, under any circumstances, or on the pressure of various external factors that are further than our control, for instance changes in exchange rate, government action etc.


In order to collect information from you to making a booking through us we ask many questions to obtain the necessary permits etc. No private or personal information that you supply to us when making a booking will be disclosed for any other purposes.

Risk & Liabilities

We are dedicated for providing the best services which will give you a once in a life time journey in this connection, we perform our duties honestly & seriously to make your journey very smooth & pleasant. However, the entire programs in Nepal are conducted strictly under the rules and regulation of theirs’ own policies.

Therefore Himalaya Message Adventure and its related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstance such as govt. restriction, Land slide, road blockage, flood, snow political unrest, cancellation of flight, delay, sickness or accident, Any extra cost incurring there of shall bear by the clients on the spots.
